Steering Committee Meeting Minutes 2/27/02
The Steering Committee met at the El Paso Barbeque Company on 27Feb02.
The meeting started at approximately 7:00PM following dinner.
The first order of business was to review and accept the procedures for conduct of the Steering Committee. These procedures were generally accepted.
The next order of business was to confirm the voting membership of the newly defined positions of the Class Representatives, Goodie Store Assistant, and Photographer. A quorum (>50%) of the existing 15 voting members was established. A motion was made by Mark Shaw and seconded by Steve Eymann to accept the new positions as voting members. Motion passed. Following the vote it was established that a quorum was still present of the new total of 26 voting members. Therefore the complete voting membership of the Steering Committee is established per the web site contact list.
The Committee then reviewed Old Business:
A limited financial review was held due to lack of total funds being transferred from old Treasurer to the new one. Glenda has had problems in contacting Daisy Huffman for this funds and information. It was proposed by Mark Shaw to send a letter to Daisy expressing the need and urgency to get the issues resolved.
A brief review of the last event revealed no major issues to be resolved.
Discussion of the progress at the new Arizona Motorsports Park (AMP) was discussed. The planning stages are being made to move earth and set up a 1000 x 800 foot skid pad area. It will not be until late in the year that the site will be ready for use following construction and the recommended curing of the asphalt surface. A future 2.2 mile road course may be included at the site.
A short update on the national Corvair Club event revealed a change in the event organizer, but no change in having the event or the autocross for SCCA participants on June 30th.
The Committee then reviewed New Business:
A proposal was made regarding the worker assignments of the Committee members. In general the Committee members who had significant work efforts both during and after events were given a waiver to the required work assignment for their competition runs. But time only runs will require worker assignments. All Class Representatives are considered to have less demanding time requirements and will be required to work assignments at the event. A motion was made by Glenda Meyers to accept the proposed worker policy and seconded by Jim Rohn. The motion passed.
A proposal was made review and accept the Supplemental Rules for 2002. After review and discussion the rules were only modified with regard to the wording for minor riders from "...at least 5 feet tall, and the parent brings a helmet..." to "...at least 54 inches tall, and the parent provides a helmet..." Mark Shaw made a motion to accept the Supplemental Rules, as revised; and it was seconded by Steve Eymann. The motion passed.
A request for renting equipment to the Triumph Club for their Oct 17-19, 2002 event at Laughlin was presented. The suggested rental fee was $1000 for the weekend with one SCCA volunteer attending and being provided with a complimentary room. Details of the rental, who would volunteer, and transport of the equipment could not be finalized; so the request was tabled pending a more detailed proposal.
Jim Rohn brought up a concern that most helmet manufacturers will not warrant their helmets past 3 years; and that our existing loaner helmets are past that time. The SCCA National office is also looking into this issue to make a recommendation to the Regions. Jim will invesigate the cost of new helmets of Snell 2000 certification and report to the Committee. It was hoped that we could resolve this before the next event.
Adjournment:
Having no further business to discuss, Mark Shaw made a motion to adjourn, which was seconded by Steve Eymann. The meeting was adjourned at about 8:30 PM. Site and time for the next meeting will be determined later. But it was decided that the meeting area setup at the El Paso Barbeque Company was not suitable and a new site would be explored.
